Ref: 1283, PA / Studio Manager – Mayfair
One of our clients is seeking a new PA / Studio Manager to join their close-knit team on a full-time and permanent basis. They have a relaxed, busy but fun studio atmosphere. The candidate will assist the Managing Director, as well as the whole team, while also managing the daily run of the office.
Required skills:
Experienced in handling, managing, and protecting confidential information
High level of organization and ability to multitask and prioritise
Ability to deal with tight deadlines on numerous current and planned tasks concurrently
Positive and can-do attitude
Ability to work independently but also as part of a team, to give support to other team
members from time to time
Able to manage 3rd parties / outsource activities as needed
Understanding of the luxury retail industry
Very good communication skills, both written and spoken
Fluent in English
Fluent in French (preferred)
Studio Manager:
First point of contact: reception / filter calls on landline
Set up any meeting in studio (team, clients, suppliers)
o Make sure the studio is tidy/presentable for client meetings
o Refreshments / food available as required
o Remote meetings conference room are properly set up
o Prepare / check presentations on IPad & A/V equip for clients presentation
Manage & liaise with services and maintenance company office related (water, electricity, council, cleaning, etc.)
Manage incoming mails studio related
Manage stationery and supplies
PA to the Managing Director:
Manage calendar for both personal and professional appointments
Book taxis/flights/accommodation
Follow up on all personal files
Reminders for any essential tasks / deadlines / meetings / team HR event (end of probation, appraisal, birthdays, etc.)
Preparing important documents to be signed off
Liaising with clients to organise meetings
Team Assistant
Assist team with all deliveries/shipping
Manage team meetings by coordinating team calendar (weekly Monday team catch up
- any other team meetings)
Liaise with suppliers, sourcing products or new suppliers
Buying samples for Design/PM teams
Assist on the recruitment process for new team members or freelancers
Keep up to date the CRM database
Keep up to date the Freelance database
Keep up to date the website and social media
Manage the recruitment for open positions
Finance Director Assistant
Staff Expenses – Soldo / Receipt Bank
Supplier queries and invoices office related (cleaning companies, water bills,
electricity, etc.)
Bank Reconciliation for staff expenses
HR / Admin
Support for admin pack / checklist leavers/starters (NDA’s, keys, phones, etc.)
Manage staff Holiday / Absences calendars (on BrightHR)
Working hours : Monday to Friday from 9/9.30 am to 6 pm
Salary offered: 26500£ gross per year
