FRENCH NATIVE SPEAKER – DIRECTOR SUPPORT ASSISTANT: Internship 6 months end of studies leading to a permanent position of Director Support Manager

The position: Director Support Assistant
To assist the Director of the company in different support tasks that will have an important role in the development of the company, that is in a stage of “start-up” => the objective is to rebuild a new strong team for developing the company, accompanying the Director in his daily tasks:

  • Daily support of the operational team (Researchers & consultants) => CRM & Database management,
  • Administrative tasks (accounting, reporting, office management, …),
  • HR duties – internal recruitment,
  • Communication & Marketing,

The position will be evolutive according to development stage of the company and to the performance of the person

CRM and Database management:

  • Data Management: audit of data, data cleaning, duplicate management,
  • Database Administration (set up user rights, admin settings),
  • Set up and configuration of Templates, Reporting, Automatic functions,
  • Monthly reporting of Researcher objectives, bonus and commissions.
    Data Entry & Data verification
  • Enriching the current database by collecting market information through internet search (LinkedIn, Viadeo, Xing…),
  • Building database of candidates (data input) using:
    • paper directories for the French market (“Grandes Ecoles d’Ingenieur”, “Grandes Ecoles de Commerce”),
    • paper directories of IA-France, French actuarial professional training centres and university directories (CEA, ISUP, CNAM)
  • CRM Database Administration: BD maintenance,

Support to Researcher teams:

  • General internet search and search on social media websites (LinkedIn, Viadeo,…) to develop
    the candidate database,
  • Assisting Researchers in some specific search projects,

=> Could work as real Researcher on some specific client projects in order to assist the Director in his role of main Consultant, learning the efficient techniques of headhunting.

Administrative duties:

  • Calculation of daily KPIs phone of the team (Researchers and Consultants),
  • Production of monthly QlikView reporting for the production team (Researchers and Consultants) => Evaluation, KPIs, Commissions reporting,
  • Book keeping: preparation of quarterly VAT Return and liaising with our Accountant,
  • Follow-up of Client invoice payment and managing the relationship with Client Accounting department to minimize the delay of the payment of invoices sent to Client,
  • Office management: petty cash management, office stationery purchasing, office supplier management (INFLUENCE, Virtual Tin, Voipfone, …),

HR duties – internal recruitment:
The main tasks will be to recruit new Researchers, Consultants, and others (internships for CRM, Marketing & Communication, others) in order to develop the team of ACTUALISE, according to the business development of the company.
The person will be especially in charge of the following tasks:

  • Create job descriptions, interview question forms and role plays (specific exercises for candidate selection),
  • Sourcing candidates from job board, social network (LinkedIn, Viadeo, Xing, Facebook,…) or headhunting calls,
  • Pre-selection of candidates with phone interviews and specific exercises,
  • Organise interview meetings for General Manger and Researcher Team Manager,
  • Internal Recruitment Reporting,
  • Build and send the offer letters, the employment contract,
  • Archive the employment files,

Communication & Marketing duties:
I- External Communication / Marketing actions:

  • Developing targeted communication actions in the actuarial market for reinforcing the presence of ACTUALISE Search & Selection on its operating markets:
  • salary surveys by market segment in the Actuarial sector (Consulting, Insurance, Reinsurance, Insurance brokers…),
  • specific surveys on actuarial market on targeted topics (satisfactory survey about the executive search companies operating on Actuarial market, satisfactory survey of actuaries about their job, their employer…),
  • professional newsletters on Actuary market in the different countries in Europe
    (France, Belgium, UK, Spain, Italy, Sweden, Germany,…): review of the relevant news of the market, nominations, …
  • specific marketing mailshot campaigns
  • Developing ACTUALISE goodies (ex: post-it, dispenser of post-it, pens, mugs….) for client meeting and specific events,
  • Managing ACTUALISE satisfactory survey after each placement (with candidates, with clients) with the objectives to improve constantly our services, to develop the references and testimonies,
  • Managing the relationship with media suppliers, journalists: developing the communication of ACTUALISE through articles published in targeted media and magazines (ex: L’ACTUARIEL, L’ARGUS DE L’ASSURANCE, …),
  • Managing the presence of ACTUALISE in specific professional events: in France (Le Congres National des Actuaires IA-France), in other countries (Benelux, UK, …),
  • Managing the ACTUALISE Website and developing communication support (brochures, leaflets…),
  • Developing communication on the web through social networks (LinkedIn, Viadeo, …) and others (forum, blogs…),
  • Developing synergy actions with client – actuarial consulting companies – prescribers of our services towards the insurance companies (International consulting companies, other small local actuarial consulting companies, freelance consultants…) – developing partnership actions,
  • Developing other efficient marketing & communication actions and monitoring the performance of these actions,

The profile:
Studying a Master degree level or equivalent level degree with first experience in internships (Sales, Communication & Marketing, … in a small company with start-up / entrepreneurial spirit),
Experience of using Database software or CRM software would be appreciable
Native French speaker;
Good skills in communication using the phone;
Good IT skills including MS Office pack (especially Excel and MS outlook), internet;
Admin skills would be appreciated
Very effective organizational skills and good time management; polyvalent, sense of responsibilities, autonomous, strong work capacity,

Important remarks:
This internship will be remunerated with an allowance of £600 per month – some extra bonus could be paid on the top of this monthly allowance according to your work performance.
After 5-6 months, according to the performance of the person, the candidate could be recruited with an unlimited time employment contract at the position of Director Support Manager (salary package OTE: £22K-25K) with interesting perspectives of evolution within our company providing a quick career progression.
